Where SMBs Should Start With Data Compliance

Compliance is not only for large firms. Small ones need a starting point they can actually execute.

Since China's data security and personal information laws took effect, large firms built compliance departments while smaller ones worry without a starting line. Most SMB problems lie not in legal understanding but in basic management.

Four immediate steps

Inventory your data: what personal information exists, where it sits, who can access it. Many firms discover staff backing up customer files to personal cloud drives at this step.

Tighten access: grant by role and revoke accounts the day someone leaves. Lowest cost, highest payoff.

Add privacy notices to forms: state purpose, retention and contact when collecting phone or ID numbers. One paragraph suffices.

Handle legacy data: delete personal data beyond retention or no longer used, following a defined process.

Common traps

Copying large-company policy templates: a thick binder on the wall that nobody follows actually hides risk.

Watching only online systems while ignoring group chats, personal email and USB drives, which is exactly where leaks happen.

Treating compliance as a one-off project; staff turnover and business change erode it quickly.

For SMBs the principle is: get to done before getting to perfect. Start with a data inventory and access revocation; every step counts.
